📧 Email Security: A Comprehensive Guide to Protection, Prevention & Action

🔍 Why Email Security Is Important

Email is the digital identity card of every internet user. It is the core of:

  • Social media account logins
  • Bank notifications and transactions
  • Job applications and professional communication
  • Government and medical services
  • Password resets and authentication

If your email is compromised, a hacker can access almost every part of your digital life.

🛡️ PART 1: How to Secure Your Email Account

✅ 1. Use Strong & Unique Passwords

  • Avoid common passwords like 123456, admin@123, or your birthdate.
  • Create a passphrase with special characters.
    • Example: Ravi@Work2025_!Safe
  • Use a Password Manager like Bitwarden, LastPass, or KeePass to remember complex passwords.

🔁 2. Enable Two-Factor Authentication (2FA)

  • Adds an extra layer of protection.
  • Even if someone steals your password, they cannot log in without the second factor (OTP or Authenticator code).
  • Use apps like:
    • Google Authenticator
    • Microsoft Authenticator
    • Authy

How to Enable on Gmail:

  • Go to https://myaccount.google.com/security
  • Click 2-Step Verification and follow steps

📩 3. Monitor Account Activity

  • Check recent activity and device logins.
  • Gmail:
    • Open your inbox → Scroll down → Click “Details” at the bottom right.
  • Look for unknown locations/IPs/devices.

🧼 4. Clean Up Access Permissions

  • Remove unknown third-party apps that have access to your Gmail.
    • Go to: https://myaccount.google.com/permissions
  • Revoke anything suspicious.

🔒 5. Turn Off Auto-Forwarding & Filters

  • Hackers often set rules to forward emails to their own account.
  • Go to Gmail Settings → Filters and Blocked Addresses → Remove unknown rules

🧾 6. Use Recovery Options

  • Add your recovery phone number and email ID.
  • This helps recover your account if you’re locked out.

🚫 7. Don’t Click Suspicious Links

  • Beware of phishing emails.
  • Hover your mouse on the link and check the domain before clicking.
  • Always verify the sender’s email ID (it may look like SBI but may be [email protected]).

📱 PART 2: How to Set Up and Secure Email on Android

➤ Gmail Setup on Android

  1. Go to Settings → Accounts → Add Account
  2. Select Google (or IMAP/POP for other providers)
  3. Enter email ID & password
  4. Allow sync
  5. Open the Gmail app to access mail

🔐 Securing Email on Android:

  • Lock Gmail App with biometric lock (fingerprint)
  • Enable 2FA
  • Don’t allow auto-download of attachments
  • Regularly clear cache
  • Avoid using unknown email apps (use Gmail, Outlook, ProtonMail official apps)

🚨 PART 3: How to Detect if Your Email is Hacked

🛠️ PART 4: What to Do If Your Email is Hacked

✅ Step 1: Recover Access

  • Go to “Forgot Password” on login page
  • Use recovery phone/email
  • Reset password

🔐 Step 2: Change Password Immediately

  • Use a strong password
  • DO NOT use previous password

🔄 Step 3: Remove Hacker’s Access

  • Review “Devices and Sessions” and log out all others
  • Remove suspicious filters, rules, or forwards

🛑 Step 4: Revoke Third-Party App Access

  • Go to account settings and remove all connected apps or devices you don’t recognize

📢 Step 5: Inform Contacts

  • Let people know your account was compromised
  • Warn them not to click on any suspicious links from your ID

🧹 Step 6: Run Antivirus

  • Scan your phone/laptop for spyware or malware using antivirus tools (Kaspersky, Malwarebytes, Norton, etc.)

🚨 File a complaint if:

  • You are locked out permanently
  • Sensitive documents were leaked
  • Fraud/financial transactions occurred from your email
  • Blackmail or sextortion threats received
  • Fake job offers or impersonation was done using your email

Select “Report Cyber Crime Related to Women/Kids” or “Other Cyber Crimes”

  • Screenshots
  • Headers (from email source)

✅ Police Station or Local Cyber Cell

  • Write a formal complaint letter
  • Attach evidence: screenshots, sender email, headers
  • Provide ID proof, mobile number, email access logs
  • Ask for FIR under IT Act Sections 66C, 66D, 67, IPC 419, 420 (as per situation)

Cyber Crime Investigation & Security Training Sess Cyber Crime Investigation & Security Training Session was successfully organized for both Vishnu Nagar Police Station and Tilak Nagar Police Station (Dombivli).

The session was held in the esteemed presence of Senior Police Inspector Shri. Pawar from Vishnu Nagar Police Station. 

The training was conducted by renowned Cyber Security Consultant Shri. Dharmendra Nalawade
He delivered an in-depth session* focusing on:

As per the guidance of Hon. Commissioner of Police, Thane City, and under the supervision of the Deputy Commissioner of Police Zone1, a Cyber Security Training session was organised today at the Office of the Commissioner of Police, Hall Thane City, specifically for Zone 1.

👮‍♂️ Police Stations involved:

* Naupada Police Station
* Rabodi Police Station
* Shil Daighar Police Station
* Kalwa Police Station
* Mumbra Police Station

🔍 The training was primarily focused on Police Officers and Staff working in Cyber Investigation at these police stations.

🎯 Objective of Training:
To enhance investigation capabilities in cyber crime cases and enable officers to handle increasingly complex cyber crime incidents effectively.

💡 Key Highlights:
Today, Mr. Dharmendra Nalawade conducted the training for Zone 1 officers, focusing on new and emerging types of cyber crimes, advanced investigation techniques, and preventive measures.
